Replacement of an outdated BI infrastructure. Recording the requirements of the specialist departments Sales, Production and Purchasing for a modern analytics solution based on their operational activities. Technical implementation on the basis of Microsoft Power BI. Conducting training courses for Power users to impart knowledge about the creation, administration, further development and provision of data models, evaluations and visualisations.

Challenge:
Currently, Microsoft Excel and Access are used as analysis tools. There is a high manual effort to process the data, edit and provide evaluations. The reports were developed centrally by Controlling without the specialist departments. Therefore, there is a lack of acceptance and knowledge on how to use them correctly.

The Tuttlingen District Office is a municipal authority
of the Baden-Württemberg district and
at the same time a lower state administrative authority with a wide range of different functions. A
of the Authority's total of 23 administrative units
is the district forestry office, another is the communal

The initial situation:
Its tasks include, among others, the management of the non-state forest from an economic point of view. This includes the production, harvesting and marketing of timber.

We have to ensure that customers are supplied with the desired quality and quantity of timber on time." Accordingly, it is important for the sales office to have a complete overview of the timber flow. "Until now, we only had limited possibilities to compare the contract data with the data from the forest recorded by the forest rangers on mobile devices. In addition, the manual effort involved was too high," Storz continues.

As an infrastructure and energy service provider, the
Stadtwerke Schwäbisch Gmünd GmbH ensures the basic supply in the Schwäbisch Gmünd region.

Around 32,000 industrial, commercial and private customers
use products and services in the areas of electricity, gas, water, heat and telecommunications. The municipal company employs
approx. 160 employees.

The Basic Planning Department of Stadtwerke Gmünd,
responsible for technical controlling, regularly prepares a comprehensive cost accounting report for senior staff in the networks division. However, the preparation of this report was associated with some hurdles, as Tiffany Barlow from the Policy Planning Department at Stadtwerke Schwäbisch Gmünd GmbH reports. "We
use SAP as their ERP system. Since I did not have any evaluation options directly in SAP, I had to extract the necessary data from the SAP modules for cost accounting in Microsoft Excel and link them to corresponding background files in order to be able to create the desired evaluations. This procedure was cumbersome and time-consuming. Especially at the beginning of the year, when a lot of large invoices are posted, I sometimes had to start new evaluations every day to keep the figures up to date.

Solution quickly in sight:
Driven by the specialist department, IT has focused on the
search for a suitable solution in order to be able to
data provision and analysis faster and more efficiently. "We first investigated whether we could extend the standard SAP functions," reports Thomas Lange, IT coordinator at Stadtwerke Schwäbisch Gmünd GmbH. "However, it quickly became clear that this was not the right way to go." Instead, a business intelligence solution that can automatically read in and analyse SAP data was to provide a remedy. Which one was clear to Lange very quickly: "I had already worked with Qlik solutions in the past and got to know them as a very flexible, powerful tool that is also very manageable. That's why I introduced Qlik Sense to the specialist department. And after Ms Barlow's eyes lit up as well, the matter was decided."
The self-service data visualisation software Qlik Sense was particularly convincing due to its high flexibility in terms of connectable data sources and the uncomplicated ability to analyse data down to the detailed level.

The right choice of partner with B.i.TEAM:
As an IT partner for the project realisation, the
Stadtwerke Gmünd the Qlik solution provider B.i.TEAM
from Karlsruhe on board. "In a joint 3-day workshop, both the product and the partner were convincing," says Lange. "After this short period of time, the first version was already ready. It paid off to have a partner with solid SAP and Qlik know-how.

The data connection is made via the certified SAP SQL Connector from Qlik. The modules required for cost accounting are connected. Data from the last ten years is imported - this corresponds to around four million accounting documents. The data is updated daily.

Field of application and benefit:
The network report created with Qlik Sense can be accessed by division, department and team leaders. Cost centres and orders are displayed. Employees have information at their disposal that shows them where they stand with their investments (what amount is left on the cost centre, what amount was actually spent) and how much they have invested compared to the planned expenditure. In case of deviations from the plan, they can
users can call up more in-depth information on the cost drivers. "To see at a glance what the current status is, the entry figures are visualised via speedometers," Barlow explains.

An analysis was provided for ticketing and stadium security, which enables the specialist departments to improve matchday planning, spectator satisfaction and the security situation in the stadium.

By providing an interactive analysis report in Microsoft Power BI, which combines historical ticket sales and live access data on match day (IoT data: scans at the stadium entrance) and visualises them in an easy-to-understand way in the form of a stadium map, stadium security can precisely allocate stewards and security staff in advance of the match. On the day of the match itself, it is then possible to react flexibly to the access situation at entrances, blocks and seats by moving security staff around. Ticketing can use the analyses to understand which people have stayed away from the matches in order to select suitable marketing approaches.
